||The Sr. Administrative Assistant performs a wide range of duties in support of the VPMA Medical Staff, and Medical Staff Office. The Administrative Assistant reports directly to the Vice President of Medical Affairs. Provides administrative support to the VPMA, and medical staff –including but not limited to; maintaining appointment calendar and coordination meetings, prepare and organize meeting materials and presentations, scheduling of meetings, organizing travel arrangements distribute meeting notices, agendas, provide follow up to meetings, and record minutes accurately and timely. Provides meeting support (agenda, agenda distribution, recorder, and tracking attendance) for Medical Staff Meetings including Medical Executive Council, Multispecialty Peer Review, Quality Improvement and Utilization Review Council, CSU Dyad, meetings initiated by the VPMA, General Medical Staff meetings, and other meetings as assigned. Coordinates and assists in planning special Medical Staff programs or events, including Doctors Day and Physician Recognition, with Marketing and other departments as needed. Serves as the administrator for DocTime and provides support to physicians and administrators to ensure compliance and timely correspondence with the Finance Department. Functions as the primary contact for incoming calls. Provides back-up coverage for medical staff services co-workers, and has basic level of knowledge of and willingness to cross-cover when needed for the Community Hospital Division. Functions as the administrator for the Medical Staff Website including the maintenance of the Medical Staff Meeting Calendar. Monitors and orders office supplies. Other duties as assigned.
