Service Scheduling Coordinator

Under general supervision, operates all aspects of a fast-paced office. This includes a high degree of customer and staff interaction, utilization of appropriate systems, coordination of projects for customers, creation and management of records, creation and maintenance of the department schedule and triage of a high volume of incoming telephone calls. Other duties as assigned.
Communicates with the user departments with regards to when their areas are scheduled for project cleaning and also conducts follow up communication with the departments to validate the cleaning has taken place to their standards. This role also tracks the daily project work tickets turned in by the EVS project staff. Utilizes all information accurately to insure that there is comprehensive, retrievable information on user department needs: Obtains appropriate additional information prior to EVS visit; Coordinates visits by communicating and organizing necessary information.
Handles the EVS staff PTO schedules, EVS staff days on/off calendars, holiday schedules, cubicle tracking log, the FMLA and attendance, and maintains the EVS project calendar/schedule.    
Actively participates in designated meetings with EVS leadership and contributes information to help improve productivity and quality of service. Performs follow-up tasks with high quality and timely manner for improved departmental results.
Provide graphs and data tracking to show progress with project work, staffing, attendance, etc.
Assures confidentiality of staff, customer, patient information, or any other confidential matters. The incumbent is responsible to assist with dispatch services as needed. Completes call/service logs, dispatch and follow up on service request as needed. Monitors the bed tracking system, answers the departments pagers as needed.

Experience in use of computers, typing and office equipment, in order to fulfill established quality standards of the job is required. 
Strong organizational skills. The ability to juggle multiple tasks at one time. Portray high customer service standards when greeting staff, co-workers, visitors, and vendors, etc. Good phone etiquette. Strong written and verbal communication skills. Microsoft Word, Excel, Power point, Kronos, Lawson, Epic and the use of a calendar feature soft ware program. 
One year prior experience as a receptionist/assistant in a medical setting is preferred.

High School diploma or equivalent is required
