Role Summary / Purpose
The Contract Control Specialist manages the receipt, processing and secure storage of all contractual documents and manages the storage system for other types of documents. Schedule is Monday to Friday, 8 am to 5 pm. No travel is required.
Duties and Responsibilities of the Contract Control Specialist
1)            Maintain storage for over 900 active and expired contracts,
2)            Ensure global team members comply with the formal procedures for document submittal,
3)            Receive up to 70 documents per week:
i)             Verify that it is the original document, signed in ink by all parties,
ii)            Page check the scanned copy against the paper copy,
iii)           If no scanned copy, scan document and create searchable pdf file,
iv)           Upload and store document in documentum,
v)            File paper copy in file cabinets,
vi)           Update Excel spreadsheet logs with receipt information and file locations,
vii)          Reject documents that do not meet the criteria,
4)            Manage end user access to document repository (create/edit system profiles),
5)            Perform audits to ensure soft and hard copy files are in agreement,
6)            Work closely with the IT group to ensure that all required folders and fields are implemented,
7)            Assist global team members with obtaining documents,
8)            Train global team members via phone and screen-sharing sessions,
9)            Ensure that all paper documents are stored in locked file cabinets except when checked out via the formal check out procedure.
 
Required Characteristics:
•Three to five years of administrative experience
•Process orientation and attention to detail
•Excellent writing and communication skills
•Excellent computer skills
•Self starter, ability to work with minimal supervision
•Fluency in English
•Proficient in MS Word and Excel
• Detial oriented
 
Desired characteristics
•Knowledge of GE Power & Water business
•6 Sigma trained
•Fluency in Spanish, French, or German
